Quick answer
When there is something to pay, the registration Summary shows it with the Pay button. Your club pays by bank transfer, by card or by both; you upload the proofs, the organiser confirms them and the receipt appears in the payment record.
This guide is for the club that takes part in a competition organised by another club. When there is something to pay, the registration Summary shows it under Next, with the amount and the Pay button. From there you pay, upload the proofs of a bank transfer or pay by card, and download the receipt. All the payments are in the Payments tab.
The money goes directly to the organiser’s account: through Stripe, if you pay by card, or to their IBAN, if it is a bank transfer. Clybo’ takes no commission and does not handle the money.
Before you start
- The payment appears when you send the registration or when the organiser approves it, as they have set it up. Until then, the Payment phase in the Summary timeline says “On sending” or “On approval”.
- For a bank transfer, have the proof of the transfer to hand: a PDF, JPG, PNG or WebP of up to 10 MB.
- To pay by card, the organiser must have their Stripe account connected and active. If they do not, the Card option does not appear and you can pay by bank transfer.
- If the deadline passes with nothing paid and the organiser collects on submission, the club loses its places and receives an email. There is no advance warning, apart from any reminder the organiser has set. If the organiser collects after approval, the due date only sends a notice. If you have already paid something or have proofs awaiting review, places are not released.
Step by step
1. Open the payment from the Summary
In the Summary, the Payment phase of the timeline shows where the payment stands:
- “On approval” or “On sending”: there is no amount yet. The payment is created at that moment.
- “Due on {date}”: there is still something to pay, also if you have paid part of it. Next shows Pay the registration with what is outstanding.
- “To be confirmed”: there are proofs the organiser has not yet reviewed, or a card payment in progress.
- “Overdue”: the deadline has passed.
- “Paid”: nothing is left to pay.
- “Free”: the registration has no fee.
Select Pay under Next, or open the Payments tab. If your club has one payment, Pay opens its record. In Payments, each payment appears as “Payment {n} of {total}”, with its status and deadline. If there is no payment yet, the list is empty, with the text “There are no payments for your club in this competition yet.”. Below, it explains when the payment appears, with the View the summary link.
2. Open the payment record
The record is titled Pay, with {club} · {competition} underneath. At the top you see what remains to be paid, on the Paid X of Y meter. The first line shows the status and the deadline, for example “Pending · due 24 Oct”.
Choose the payment method available: Bank transfer, Card or both. If none is available, you will see “No payment method is available right now. Ask the organiser.”.
3. Pay by bank transfer
Under Bank transfer you will see these details from the organiser:
- IBAN and Account holder.
- Description: your payment’s reference. Use it exactly as written in the transfer, so that the organiser can identify your payment.
- Amount to transfer: the sum you need to transfer, that is, what is still owed minus the proofs you have already sent that are awaiting confirmation.
Select the copy icon next to IBAN or Description and paste the details into your online banking.
4. Upload the proofs
Under Proofs of payment select Add proof of payment. The Add proof of payment sheet opens:
- Choose file: a PDF, JPG, PNG or WebP of up to 10 MB.
- Amount transferred: the amount you transferred, in euros.
- Send proof of payment.
To close the sheet without sending, press ✕.
You will see “Proof of payment sent. The organiser will confirm it.”. You can send several proofs if payment is made in instalments, with a maximum of 10 pending review per payment. Each one appears with its status: To confirm, Confirmed or Rejected. Until the organiser confirms it, the payment stays To confirm.
If a proof is To confirm and you sent it by mistake, select Cancel proof. A rejected proof shows the reason, for example “Reason: …”, and you can send another.
5. Pay by card
Under Card, select Pay {amount}, for example Pay 67 €, and complete the details on the payment form. While it is being confirmed, you will see Confirming the payment….
When the bank responds, the payment moves to Processing: the screen updates by itself. When it is confirmed, the status is Paid. If it takes longer than usual, you will see “The payment is taking longer than usual. You can check this screen again in a few minutes.”.
6. Combine bank transfer and card
If you already have proofs to confirm, the card covers the rest:
- you will see “You have {amount} to confirm. You pay the remaining {amount} by card”;
- if what is awaiting confirmation covers everything, you will see “Your proofs of payment awaiting confirmation already cover what is missing” and there is no need to pay by card.
While a card payment is in progress you cannot add proofs. You will see Finish the card payment first and the Add proof of payment button is disabled.
If you leave a card payment half-finished, the attempt stays open. Go back to the record to finish it. If you do not finish it, it closes by itself after a while, and in the meantime you cannot add proofs.
7. Add the NIF for the receipt (optional)
If the organiser includes the NIF on receipts, expand Club tax ID (NIF) for the receipt (optional). Enter the full NIF in the Club tax ID (NIF or CIF) field and select Save tax ID. The NIF only affects receipts issued from that point on. To remove it, select Remove tax ID.
If Clybo’ already has your club’s NIF, you will see a suggestion with the NIF masked: “Clybo’ has your club’s tax ID: {nif}. Type it in full to use it on your receipts.”. To use it, enter it in full in the field and save.
8. Download the receipt
Under Receipt, select Download receipt when the PDF is ready. If it is still being generated, you will see “The PDF is still being generated.”. While there is none, “Receipts will appear here.” is shown. A refund appears in this list as a credit note, with the text “Credit note {number}”.
9. Check the deadline and the competition
Under Competition, below Deadlines, you will see “Payment deadline: until {date}”.
If the competition is cancelled, you will not see Pay or a deadline. If you had already paid something, you will see what you paid and can view it.
If something goes wrong
- “Card payment is not available right now. Ask the organiser.”: the app cannot prepare the card payment right now. Pay by bank transfer or check with the organiser.
- “Card payment is not available right now.” when you select Pay: the organiser disconnected Stripe while you were paying. Pay by bank transfer or check with the organiser.
- “The payment could not be confirmed. Check the details and try again.”: check your card details and repeat the payment.
- “Could not copy. Select the text and copy it by hand.”: select the detail with your mouse and copy it yourself.
- “Only PDF, JPG, PNG or WebP files are accepted.” or “The file is larger than 10 MB.”: the file will not do. Upload a PDF, JPG, PNG or WebP of up to 10 MB.
- “Enter the amount transferred to send the proof of payment.”: enter the sum you transferred before sending.
- Overdue in the Payment phase of the Summary: the deadline has passed. Check with the organiser before paying.
- Competition cancelled: no payment is offered. If you had already paid, the organiser handles what was collected with a refund; check with them.
- “The organiser is not available right now. You can check your payments and download your receipts.”: the organiser is suspended or no longer has the Competitions product active. You can see your payments and download your receipts, but you cannot pay, upload proofs, add the NIF or see the IBAN. The link in the payment emails opens the Payments list. Check with the organiser when they are available again.
Next step
- Change your competition registration: what the club can change and how it returns to To approve.
- Accept the competition documents: how the club accepts the documents before sending.
