Quick answer
The notes desk is the venue device that enters the competition’s scores. There is only one per competition. If it loses the network, it keeps scoring and uploads the scores when the connection returns.
This guide is for the day of the competition. It explains what the notes desk is, how to set it up on a venue device, how to enter each exercise and what happens to scores when there is no connection.
Before you start
- The competition must be scheduled or finished, and the entry must be approved. Otherwise the score reaches the panel as a conflict, Entry cannot be scored. See Review and approve the competition entries.
- A rotation must be published. The desk works with the exercises and medal ceremonies in that rotation.
- The device must be compatible with the venue. See Devices compatible with the venue.
- To set up the device you need an organiser session. Without one, the screen shows Sign in as organiser to prepare this device.
Step by step
1. Set up the device with the Notes desk role
Follow Prepare the device for the venue and, in the Name and role of this device dialogue, choose the Notes desk role. There can be only one notes desk per competition.
With that role, the step list is Install the app, Space, Rotation and participants, Current scores and Simulate offline. The desk does not download music or run the sound test.
On the Current scores step, select Download the current scores. The step saves to the device the scores already on the server. When it finishes, the list shows the summary “N exercises · M scored”.
If another notes desk already exists, the device cannot be saved with that role without a handover. The handover is offered both when you prepare a new device and when you change the role of a registered one: in the Devices list, open the three-dot button (Device actions) on the row of the device that is to score, select Change role, choose Notes desk and select Move the notes desk to this device. Confirm with Hand over the desk. The previous desk is revoked, and anything it has not uploaded goes to the panel as a conflict. The handover happens on the server, so it needs a connection.
2. Open the desk and choose the session
With the Notes desk role, the device opens the Notes mode directly. The screen stays on while you score.
In the top bar, the Session selector chooses the session. By default, the first session with exercises is shown. The queue shows only that session’s exercises, in rotation order.
3. Read the scores screen
The left column shows the current exercise: the bib, the gymnast’s or entry’s name, the club, the division and the apparatus. Below are the fields DB, DA, D, A · Artistic and E · Execution, the penalties Pen. time, Pen. line and Pen. responsible judge, the Total pen. and the Final score.
The right column is the Session queue. It groups exercises by block, with the block name and its position, “N of M”. Each row shows bib, name, club, apparatus and status. Medal ceremonies appear as rows with View podium.
The status pill in the header shows the upload state:
- Offline · N scores to upload: there are scores saved on the device that have not yet reached the server.
- Uploading…: the desk is sending scores.
- All uploaded: no score is left to send.
- N scores not applied · review them in the panel: the server did not apply some scores. The pill also counts rejected scores.
4. Enter an exercise
Type the scores for DB, DA, A · Artistic and E · Execution. Each field accepts numbers with a comma or a point, up to 3 decimal places. When you leave a field, the score is reformatted with three decimals: “7,7” becomes “7.700”.
D and the totals are calculated automatically. Penalties can be left empty and count as 0. The limits are: DB and DA from 0 to 30, A and E from 0 to 10, and penalties from 0 to 10.
If a field is not valid, the error appears under it, with messages such as Up to 3 decimal places or A and E go from 0 to 10. Save and next is enabled only when every field is valid.
When you select Save and next, the score is saved on the device, the next row in the session becomes the current one, and the desk tries to upload it as soon as it can.
If the gymnast did not start, select No show. The screen asks for confirmation with Mark as no show?. It counts as 0 in the all-around and is saved when you confirm with Mark as no show.
To correct a score already saved, select its row in the queue. The form fills with its values; change what is needed and save with Save and next.
To go straight to an exercise, type the bib in Search by bib and press Enter. If the bib has only one exercise in the session, the desk jumps to it. If it has several, buttons appear for each apparatus, with the message This bib has several exercises: choose the apparatus.
5. Work offline
The desk does not need a network to score. Each score is saved on the device before the upload is tried, so it is not lost if the tab is closed or the network drops.
When the connection returns and there is an organiser session, the desk uploads the queue in the order you saved each score. Each score carries an identifier: if the server receives it twice, it is not duplicated. At the end, the desk fetches the scores from the server again, and corrections made in the panel replace local scores that have already been uploaded.
To leave, select Exit. If scores are still waiting to upload, Exit with scores not uploaded? appears. Exit anyway takes you back to the venue home: the scores stay on the device and will be uploaded when you sign back in. Keep scoring keeps you at the desk.
If the organiser revokes the desk, the screen returns to the venue home and the competition is removed from this device. Scores that have not been uploaded are not deleted.
Forget the device when you finish
If you are handing the device back or someone else will use it, select Forget this device in the top bar of the desk, to the right of the Session selector; it only appears on the notes desk. If there are no scores waiting to upload and none are rejected, Forget removes the competition’s rotation, music and already uploaded scores from the device, and takes you back to the venue home. Scores that have not reached the server are never deleted: if there are any, the dialogue shows N scores not uploaded and offers only Cancel. Upload them when the connection returns (the pill changes to All uploaded) or check them in the panel, because rejected scores cannot be discarded from the desk either. Exit only takes you back to the venue home and deletes nothing, whereas Forget this device also removes the competition’s data from the device, including the gymnasts’ names. To score again on this device, set it up again as in the first step.
6. Check how scores reached the panel
Each queue row shows the status of its score:
- Not uploaded: the score is on the device and has not been sent yet.
- Not applied · check the panel: the server received the score but did not apply it. The panel explains why, under Conflicts.
- Rejected: the server did not accept the value, for example because it is not valid or the exercise no longer exists. The desk does not send it again and keeps the value on screen.
Rows marked Not applied and Rejected remain visible on the desk. The conflict reasons the organiser sees are Corrected in the panel afterwards, The desk moved to another device, Results already published and Entry cannot be scored.
7. Use a view-only device
A device with the Music desk or Backup role can open Notes from the mode selector in the header. There it shows the banner View only · scores are entered on “Notes desk”, the fields are disabled and there are no save buttons.
The scores shown come from the server, so a connection and an organiser session are needed. Without them, the view says Offline · the scores are on the scoring desk.
8. Check the provisional podium from the desk
When the queue reaches a medal ceremony, its row shows View podium. The button opens the Session podium with that ceremony’s divisions. Each card has its own Show on screen button, and Speaker sheet opens the printable sheet, just as on the panel.
While scores are waiting to upload, or the division is missing scores, the podium is provisional, and the notice Calculated on this desk · provisional until the scores are uploaded says so. If there are no scores to calculate it, the screen says There are no scores yet to calculate this podium.
If something goes wrong
- Sign in to upload the scores: the desk saves the scores, but cannot upload them without an organiser session. Sign in and the upload resumes by itself.
- Not uploaded · will retry: there was a network or server error. The desk tries again with the same score without duplicating it.
- The scores could not be downloaded. Try again with a connection.: select Download the current scores again when you have a network.
- Another device is already the notes desk for this competition. You can hand the desk over to this one.: use the handover from Devices, as described when setting up the device.
- View podium does nothing: the device was set up before the manifest included the podium data. Set the device up again while you have a network.
- I can’t forget this device: the dialogue only lets you cancel: there are scores not uploaded or rejected. Upload them or check them in the panel, then select Forget this device again.
Next step
- Review, correct and publish the results: how conflicts are resolved in the panel.
- Podiums and medal ceremonies: the full podium, the screen and the speaker sheet.
- Run the music during the competition: what happens at the venue on the day of the competition.
