Quick answer
In venue mode, the music desk works without a session or a network, using the device’s preparation. You start the session, control each track and record postponements, moves and no-shows.
This guide is for competition day. It explains how to open venue mode on a device that is already prepared, how to run the session and what to do about incidents: postponing, marking a no-show, moving an exercise or taking over on the backup.
Before you start
- Venue mode works without a session and without a network as long as the device’s preparation is valid. If it has expired or does not exist, the screen says so and the device has to be prepared again. See Prepare the device for the venue.
- Only one tab or window can be open for each competition. If it is already open in another, the new one shows Already open in another tab or window.
- If the organiser has set a PIN, the screen shows Enter the PIN to open venue mode.
Step by step
1. Open the competition on the device
On the venue home screen, select Open next to the competition. If there is a PIN, type it on the number pad and select Open. After the fifth failure in a row, the screen waits 30 seconds before the next attempt; each new failure doubles the wait, up to a maximum of 15 minutes. The wait carries on even if you reload the page.
2. Start the session
Select Start the session. That first tap switches on the browser’s audio; without it no track plays. If the Keep the screen on setting is on, the screen stays on from the moment the session starts.
3. Read the cards and the order
The Now card shows the exercise that is playing or the one whose turn it is, with its scheduled time. The Next line shows the exercise that comes after, with its bib, club, apparatus and time. The Order list shows all the exercises in the session: those already done appear dimmed and the current one is highlighted.
With the selector you can see only the session, one mat or all the mats.
4. Control each track
The controls are Play (or Pause and Resume), Restart, Signal, Postpone, No-show and Finish:
- Restart is only available while the track is playing.
- Finish appears only when the track is paused. It closes the exercise by hand.
- Signal plays the exercise’s audible cue.
When a track reaches its end, the next one does not start. The exercise is finished and the next one waits for someone to select Play. A person always starts it. If the system interrupts the audio, Audio was interrupted appears and the button changes to Resume.
5. Postpone an exercise
Select Postpone in the controls, or in the row’s actions. Choose the Reason:
- Wrong apparatus;
- Wrong music;
- Other.
Then choose the destination: After the next one, At the end of the block or At the end of the session. With Wrong apparatus, the destination that appears first is At the end of the block. With the other reasons, it is After the next one.
If the gymnast has another pending exercise with the same bib in this session, with Wrong apparatus the tick box Compete now with their other exercise appears, ticked by default. Leave it ticked for the gymnast to compete now with that exercise, or untick it so that the postponed one simply follows its destination.
6. Mark no-shows and move exercises
Select No-show for the current exercise, or open a row’s actions and choose No-show. The notice asks for confirmation with Mark as no-show.
In a row’s actions, Move… opens the dialogue for placing the exercise in the Next slot, After the next one, At the end of the block, At the end of the session or After…. This last option asks you to choose the reference exercise. Select Move to confirm.
7. Start here to take over
In a row’s actions, Start here puts the session at that exercise. The pending exercises before it are left as Skipped on that device. The option is only available when no track is playing.
Use it on the backup, on the row where the competition has got to when the main desk has to stop. Each device keeps its own order, so the backup does not know what the main desk has done.
8. Review the log
The change counter in the header opens the device’s Log. There you can select Undo to cancel the last postpone, move or no-show action of that version of the rotation.
The log is saved on the device. When there is a network and an organiser session, it uploads by itself; if operations remain pending, it tries again every 10 seconds. You can also select Upload log. Without a session, the header shows Sign in to upload the log. Uploading it does not change the published rotation. The organiser sees each device’s log on the Log tab of the preparation wizard, with filters and Export CSV.
Settings and updates
Device settings
Select the Settings icon in the header. You can turn on:
- Automatic signal before the music, off by default;
- Keyboard shortcuts, off by default. With them, the space bar pauses or resumes, R restarts, S gives the signal, A postpones and N marks a no-show;
- Keep the screen on, on by default.
With an organiser session, Sign out on this device is also under Settings. It deletes nothing and does not change what the device has prepared, and the mode keeps working without a network. Use it when the device stays at the table without an organiser.
Forget this device deletes that device’s music and rotation. If there are operations not yet uploaded, it first asks you to choose Upload first or Discard.
Rotation update
If you publish a new rotation while the device is working, the header shows Update pending with the Update button. No device installs the new rotation by itself, even if you have already started the session. Update takes you to the preparation wizard, where the rotation is installed when you accept. The log is kept.
If something goes wrong
- “Already open in another tab or window”: close the other tab or window for that competition.
- “Wrong PIN”: type the PIN again. After five failures in a row, wait for the time the screen shows.
- “The preparation expired on” followed by the date: the device no longer opens the competition. Prepare it again while you have a network.
- “Damaged track · use the backup or postpone”: use the backup device or postpone the exercise. With a network and a session, Repair takes you to the wizard.
- “No music”: the exercise has no track on this device. Postpone it and check the music in Review the competition’s music.
- “Audio was interrupted”: select Resume. If nothing plays, check the audio output.
- “This browser cannot keep the screen on.”: keep the device plugged in and check the system’s power settings.
Next step
- Prepare the device for the venue: the steps before competition day.
- Simulate offline and run the sound check: the check without a network and the sound check.
- Compatible devices for the venue: which devices and browsers work.
- Review the competition’s music: which music is missing and how to notify the clubs.
