Quick answer
With registration open, select Register your club on the call for entries, sign in with your email and a six-digit code, set up your club and submit the club’s registration.
This guide walks through the whole process of registering your club for a competition organised by another club: from the public call for entries to sending the registration. You do not need a password. You sign in with a code sent to your email.
Before you start
- The competition’s registration must be open. The buttons on the public page only become active during that period; outside it, they show when registration opens or when it closed.
- Have to hand an email address you can access now. You will receive a six-digit code there.
- Have to hand the club’s details: name, town, contact person and phone number with the country code (for example, +34 612 345 678).
- If your club already uses Clybo’, read Register your club from Clybo’ first.
Step by step
1. Select Register your club on the call for entries
On the public page of the call for entries, select Register your club. It is only active while registration is open.
2. Request your code
In Sign in to your account (with the competition card at the top and the Back to the call for entries link at the bottom), enter your email in the Email field and select Get a code. If the security check needs you to confirm that you are a person, the notice “Confirm you are a person to receive the code.” appears.
If your email is the one on your Clybo’ account, you can select Continue with Clybo’, which sits below Get a code. It only shows the notice “Use the email of your Clybo’ account.”: the code and the sign-in are the same. If your club uses Clybo’, what you see afterwards is different; follow Register your club from Clybo’.
The email contains only the code. If it does not arrive, check your spam folder. The Resend code button becomes active when the countdown Resend in ends.
3. Enter the code
Under Check your email, enter the six digits in 6-digit code and select Sign in. If you made a mistake with the email address, select Change and start again.
4. Set up your club the first time
If your account does not yet have a participating club and none of your clubs use Clybo’, Register your club opens inside the panel, with the sidebar, and the text “You will use it to organise competitions and enter your athletes”. The form has three blocks:
- Your club: the Club name (required), the Tax ID (NIF) and the Club logo. For the logo, drag the image into its box or select Upload logo; a PNG, JPG or WebP image works.
- Location: the Country and the Autonomous community are required; if you choose another country, you enter the Region instead of the community. The Address, Postcode, Town and Province are optional. The country, the community and the mobile dialling code are shown with their flag; you can search by name for the country and the dialling code.
- Contact person: their Full name and the Contact mobile, with the country dialling code in the selector on the left. Both are required.
Fields that are not required are marked “(optional)”. On desktop, on the right, How your club will look shows the logo, name, town and community as you type them.
Tick the box “I declare that the details are true and that I am authorised by the club to register it.” and select Create club. If anything is missing, a “Check N fields” summary appears at the top with a link to each one, and each field shows its error underneath. You can change these details later in Settings › Club.
If your account already has a participating club, you will not see this step. If you manage several, first choose one under Choose the club.
If you manage a club that uses Clybo’, you will not see this form: you go straight to the panel; follow Register your club from Clybo’.
5. Register the club for the competition
After signing in you arrive at the club panel. If you came from the call for entries, the Register card appears, followed by your club’s name and the competition, with the Register the club button. Select the button: your club joins the competition and its registration opens. If your club organises competitions but has never registered for those of others, you first complete Club profile once, before the button.
If you did not come from the call for entries, go to Competitions, the first item in the sidebar (on mobile, open the sidebar with the ☰ button at the top). It is the list of all published competitions; on the competition’s card, select Register the club. If your account does not have a club yet, you first see Register your club, the form in step 4.
Everything happens in the same panel, with the sidebar: Competitions at the top and, below it, the Club section with I organise, My athletes, My coaches and Settings. Inside the competition your club is registered for, Competitions stays highlighted and the header shows the poster, the competition’s name, “date · venue · organised by {club}” and the registration status. Below it are the tabs Summary, Participants, Documents, Payments, Competition and, once the competition has a timetable or has finished, Results; on a phone, the row of tabs slides sideways. The Back arrow, to the left of the title, takes you back to Competitions.
At the bottom of the sidebar you see your club’s name and logo, Switch club if your account has several clubs, and the icon to sign out. To change competition, go back to Competitions and open another card.
Your club’s details are under Settings › Club, with the same blocks as the sign-up: Your club, Location and Contact person; change them and select Save. If you change or remove the logo, it is saved straight away. If your club uses Clybo’, the logo is changed in Clybo’. The club account has a single sign-in email; you cannot invite other people from Competiciones. If your club also organises competitions, Settings also shows the Collections tab.
Under Competition you see the competition’s details: the poster, the venue (with the Directions link), the deadlines, the timetable, the organiser’s details, the documents and the fees.
6. Add gymnasts to your squad
Gymnasts are managed only in My athletes, in the Club section of the sidebar. Select Add athlete and complete First name, Surname, Date of birth, Licence number and Sex (Female or Male). Select Save.
Gymnasts are saved for your future competitions, so you do not need to enter them again for each registration. It is the list you use in every registration; how to maintain it is explained in Manage your club’s athletes.
7. Add entries
Open the Participants tab and select Add entry. A panel opens on the right, over the list (full screen on mobile); close it with the ×, with Escape or by clicking outside. What you save stays unsent until you send it from the bar at the bottom. In the panel:
- Choose the Division from its cards: each one shows the range of birth years, the passes and, if the fee is published, the price. If the division is a group, you can type a Group name.
- Tick the box for each gymnast. When you tick it, the Starter and Substitute buttons appear: she goes in as Starter while there are starter places left, and as Substitute once those are full. To change her role, select the other button. The line beginning Choose tells you how many starters and how many substitutes are needed.
- Gymnasts who cannot take part go to the end of the list, without a tick box, with the reason:
- Born in {year} · not {category}: their birth year does not fit the division’s category.
- Licence missing: the competition requires a licence and the gymnast has no number.
- Already entered in this division.
- In a team event, with one gymnast per routine, choose in Gymnast for exercise {n} the one who performs it.
- In clubs without Clybo’, if a gymnast is missing, select New gymnast to add them to My athletes and return. If your club uses Clybo’, the gymnasts you add by hand in My athletes also appear in the list, next to those from the census.
- In a duo, trio, group or team division, the form offers Use a saved group: it lists your saved groups of the same type as the division and, when you choose one, ticks its gymnasts (starters while there are places left, then substitutes) and puts its alias in Group name. Gymnasts who cannot take part in that division are skipped with the warning “N gymnasts in the group cannot take part in this division.”. You can adjust everything before saving. How groups are saved is explained in Save your club’s groups and teams.
The bar at the bottom of the panel counts the starters and substitutes chosen and, if the division has a fee, shows its amount. Select Save entry. The button is only enabled when the line-up is valid. In an individual division, instead, tick one or more gymnasts: each one becomes an entry, and the button says Add N entries.
Each entry then appears as a row under Participants, grouped by division, with its music, its status and, if the division has a fee, its price. Select its name to review or edit it.
8. Accept the required documents
Before submitting, accept and hand in the required documents. In Summary, the Before sending block shows how many are missing, with Read and accept, or whether they are All accepted. How to do it is in Accept and hand in the competition documents.
9. Submit the registration
With entries prepared, the bar at the bottom shows how many are ready to send and the Total. Select Submit registration. Submit the registration? opens with the text “The organiser will review the prepared entries before approving them.”. Select Submit.
The Total adds up what the club has already paid and what is not yet paid. The unpaid part is worked out from the competition’s fees and is marked Estimated until its payment is created. The club fee counts only once. That amount is paid inside the app, by bank transfer, by card or by both, as the organiser has set it up. Depending on that setting, the payment appears when you submit the registration or once the organiser approves your entries. Until then, the Payment phase in the Summary timeline says “On sending” or “On approval”. Follow Pay your club’s registration for the competition to pay.
10. Follow the status
After submitting, each entry shows its status:
- Not sent: it is a draft and has not yet reached the organiser.
- Sent: the organiser has not yet reviewed it.
- Approved: it has a place.
- Waiting list: it has no place for now and is on the waiting list.
- Rejected: you will see the reason the organiser wrote.
- Withdrawn: you withdrew it.
Under Registration, the club’s overall status can be Not sent, Sent, Approved or Partly approved.
The organiser reviews entries in their Entries inbox. You can see how they do this in Review and approve your competition’s registrations.
