Quick answer
Under Bibs the approved entries are numbered according to the order, digits and series you choose. With the rotation order, bibs are assigned when you publish the first version. You can correct a bib by hand and export or print the list.
Bibs are the numbers that identify gymnasts and entries in the competition. This guide explains when they are assigned, how to set the numbering, how to correct a bib and how to check, export or print the list.
Before you start
- Bibs appears in the competition menu once the call for entries stops being a draft.
- Only approved entries are numbered. Before they are approved they have no bib. To approve them, see Review and approve the competition’s entries.
- The default order is Rotation order. With that option, no bibs are assigned until you publish the first version of the rotation. If you want to number now, choose Registration order before registration closes.
- If the competition is finished or cancelled, nothing can be changed. You will see the notice “This cannot be changed in the competition’s current status.”
Step by step
1. Understand when bibs are assigned
What happens depends on the Assignment order you choose:
- Registration order (assigned when registration closes): on closing, the approved entries are numbered in the order they were sent. After closing, each entry you approve receives the next free number, without changing those of the others. Before closing, an approved entry does not yet have a bib.
- Rotation order (assigned when the first version of the rotation is published): until you publish it, Renumber assigns nothing with this option and you see the notice “They will be assigned when the rotation is published.” When you publish, bibs are assigned in order of start and, after that, nobody is renumbered: new entries receive the next free number.
2. Set the numbering
In the Settings card you can adjust:
- Assignment order: Rotation order or Registration order.
- Start at: the first number of the series, between 1 and 9999.
- Digits: 3 · 001 for numbers with leading zeros, or No leading zeros · 1.
- Groups, duos and trios: Same numbering, which follows the same series as the individual ones, or With letter · C01, which uses its own series with the Prefix you choose. The prefix has 1 to 3 capital letters and the series starts at 1.
Individual and team gymnasts receive one bib per gymnast, which serves for all their exercises. Duos, trios and groups receive one bib per entry.
3. Save the settings
Select Save settings. You will see the notice “Settings saved. Bibs don’t change until you press “Renumber”.” Saving does not touch existing bibs. While there are unsaved changes, Renumber is disabled and asks you to “Save the settings before renumbering.”
4. Renumber the bibs
Select Renumber to recalculate the automatic bibs in the chosen order. Bibs edited by hand are kept, and their numbers are skipped within the same series. You will see the notice “Bibs recalculated. Manually edited bibs are kept.”
If the order is the rotation order and a rotation is already published, Renumber asks for confirmation with Renumber the bibs?. The notice reminds you that you must publish a new version of the rotation for the clubs to see the changes. Until then, the published rotation is shown as out of date.
5. Correct a bib by hand
In the table, select the bib number to open a box and type it in. Press Enter or leave the field to save it. The number must be between 1 and 9999. If another entry already has that bib, it is saved anyway and you see “Saved. Bib {n} is already held by another entry.”
The row is marked Edited by hand. If it also clashes with another, the label is Duplicate · edited by hand. To make it automatic again, select Set back to automatic and then Renumber. You will see the notice “The bib is automatic again. Press “Renumber” to recalculate it.” With a rotation already published, correcting a bib also makes the rotation out of date: the published version does not change until you publish another.
6. Check for duplicates
If there are repeated bibs, you will see a warning band with the number of repeats and their numbers, for example “2 duplicate bibs: 020 and 047. Correct them before printing.”, with the link Show duplicates only.
Select Check duplicates to read the list again. If there are repeats, the table is filtered to Duplicates · n. If there are none, you will see “No duplicate bibs.” The filters are All · n, Duplicates · n and Edited by hand · n. The search box finds by bib, entry, club or division.
7. Export or print the list
In the table, the Out column shows the day and time of each bib’s first start according to the published version in force; it is empty while there is no version. Select Export CSV to download the list with bib, entry, club, division and out. The file uses a semicolon as separator, designed to open in Excel with Spanish settings.
Print opens the print view of the list. With duplicate bibs, both Export CSV and Print ask you to confirm in Continue with duplicate bibs? with the button Continue anyway.
If something goes wrong
- “There are repeated bib numbers. Fix them or confirm the export.”: you exported without confirming the repeats. Correct the bibs or confirm in the dialogue.
- “Enter a number from 1 to 9999.”: the bib number is not valid. Type only digits, from 1 to 9999.
- “Use 1 to 3 capital letters.”: the Prefix of the series with a letter is not valid.
- “No bibs yet. They are assigned when registration closes or when the rotation is published.”: this is normal if no entries are approved yet, or if the order is the rotation order and you have not yet published the rotation.
- “No bib matches the filter.”: change the filter or clear the search text.
- “The bib settings are not valid.”: check Start at and the Prefix, then save again.
- “This cannot be changed in the competition’s current status.”: the competition is finished or cancelled, and bibs can no longer be edited.
Next step
- Review and approve the competition’s entries: each approval assigns the next free bib when the order is registration order.
- Accept late entries after the deadline: late entries also receive a bib when approved.
- Create and publish a competition call for entries: check the call for entries before you start numbering.
- Publish the rotation and notify the clubs: the first version assigns the bibs with the rotation order.
