Manage your club’s athletes in Competiciones Rítmica

Add, edit and delete your club’s athletes in “My athletes” once and use them in every registration. With Clybo’, besides the census you can add athletes by hand.

Quick answer

In “My athletes”, in the Club menu of the panel, the Individuals tab lets you add, edit and delete athletes once. With Clybo’, besides the census of the teams you choose, you can add athletes by hand; for those in the census you only edit the licence.

My athletes is the list of your club’s gymnasts inside the Competiciones Rítmica panel. It has two tabs: Individuals, which is the list of athletes, and Groups and teams, where you save duos, trios, groups and teams (explained in Save your club’s groups and teams). This guide explains how to keep the list up to date and what changes depending on whether your club uses Clybo’.

Before you start

  • You must be a club administrator. The section is available to any club account in the panel, whether or not it uses Clybo’.
  • It is the same list you use when you register your club in a competition run by another club: there is no other list of gymnasts in the registration: everything you add here you find when you register, as explained in Register your club with email and a code.
  • If your club uses Clybo’, the list includes the Clybo’ census (you can only edit the licence of its athletes) and the athletes you add by hand. You also choose which of the season’s teams compete.
  • If your account does not have a club yet, My athletes shows “Your athletes are stored in your club” and the Register my club button, which opens your club’s sign-up.

How to get there

Open the panel and, in the sidebar, inside the Club section, select My athletes. On mobile, the sidebar opens with the ☰ button at the top. The Club section contains, in order, I organise, My athletes, My coaches and Settings. At the top you will see the Individuals and Groups and teams tabs; this guide covers the first. The active tab is reflected in the address (?vista=conjuntos for Groups and teams), so you can save or share the link.

Step by step

These steps work for any club, whether or not it uses Clybo’, on the Individuals tab. If your club uses Clybo’, the athletes from the census are handled differently: also go to the section “If your club uses Clybo’”.

1. Add an athlete

If there are none yet, you will see “No athletes yet” and “Add your athletes once and they will be ready to enter in your competitions.”. Select Add athlete, which is also in the header once you have a list.

In New athlete, complete:

  • First name and Last name.
  • Date of birth.
  • Licence number, optional. If she has none, the list shows No licence.
  • Sex: Female or Male.

Select Save. To close without saving, select Cancel.

The table has the columns Athlete, Year of birth, Licence and Sex; if your club uses Clybo’, it also has Team after Athlete (explained in “If your club uses Clybo’”). The column shows only the year, not the full date; when you add or edit an athlete you still fill in the Date of birth. Above it you see the count (“N athletes”) and the Search athletes box. If no athlete matches the search, the screen says so.

3. Edit an athlete

Select her name or row. Edit athlete opens with the same fields. Change what you need and select Save.

4. Delete an athlete

In Edit athlete, select Delete. The screen asks “Delete {name}?” and warns: “They leave your list. Entries that already include them do not change.”. Select Delete to confirm.

Deleting or editing an athlete does not change the entries that already include her. To bring the new details into a registration, select Update details in the header of My athletes, next to Add athlete: you choose the competition and the athletes’ current details are copied into their entries. The procedure and its limits are in Change or withdraw an entry.

If your club uses Clybo’

On Individuals two kinds of athletes live side by side:

  • Those from the Clybo’ census, which carry the Clybo’ badge next to their name. They are only the athletes of the teams you have chosen. There is no button to edit or delete them here: the only thing you change from My athletes is their licence, with the pencil.
  • Those added by hand, without a badge. You create them with Add athlete, just like a club without Clybo’, and they are saved only in Competiciones Rítmica, not in Clybo’. Select a name to open Edit athlete and change their details or Delete.

Both kinds can be entered in competitions: the gymnast selector in the registration shows both. Adding an athlete by hand is useful, for example, for a guest gymnast who is not in your Clybo’ teams.

Choose which teams compete

  1. Open My athletes. Until you have chosen teams or added athletes by hand, the list is empty and the heading “Choose which teams compete” appears, with an explanation that you should choose this season’s teams whose athletes you will enter in competitions; you can leave out school groups, for example. That screen offers two buttons: Choose teams and Add athlete.
  2. Select Choose teams. Competing teams opens and explains that only athletes from the chosen teams appear in ‘My athletes’ and when entering a competition. It lists the active teams of the current Clybo’ season (the active season), each with its category and number of athletes.
  3. Tick the teams that compete. The All and None links tick or untick all of them at once.
  4. Select Save teams. To close without saving, select Cancel.

With teams chosen, the list shows the athletes who are currently members of those teams (plus those you added by hand); if one is in two teams, she appears once. To change the choice, select Teams (N) in the header, where N is the number of teams chosen.

The same choice applies when you register gymnasts in a competition: in Register your club from Clybo’ only the census athletes of the chosen teams appear, plus the ones you added by hand.

If the active season changes in Clybo’, the previous choice no longer applies: the list is empty again with the warning “The season has changed in Clybo’. Choose the competing teams again.” If Clybo’ has no active season, you will see “No active season in Clybo’” and “Activate a season with its teams in Clybo’ to choose which athletes compete.”

See the team and filter by team

The Team column shows which Clybo’ teams each census athlete belongs to in the active season; if she is in several, all of them appear. Inactive teams and teams from previous seasons are not shown. Athletes added by hand have no team and the cell stays empty.

When there is more than one option, the Filter by team selector appears in the header, next to Search athletes. It offers All teams, each of the teams chosen in Teams (N) and, if you have athletes added by hand, Added manually. The filter combines with the search and does not change the count (“N athletes”). If you remove from Teams (N) the team you had filtered by, the list goes back to All teams.

Change an athlete’s licence

The licence is the only detail of the register that you can change from My athletes:

  1. Next to the athlete’s licence, select the pencil (Edit {name}’s licence).
  2. {name}’s licence opens, reminding you that the change is saved in her Clybo’ record and in her competition entries that are still open.
  3. Type the Licence number and select Save. To close without saving, select Cancel. If you empty the field and save, the licence is removed.

What happens when you save:

  • In Clybo’: the change is saved in the athlete’s record. It is the same licence you see in the Clybo’ panel, and the change is recorded in Clybo’s activity log.
  • In your open competitions: her copy is also updated in the competitions whose registration is still open for your club, using the same window as Update details, including extensions granted by the organiser. Closed competitions keep their copy.
  • If it was already approved: as with Update details, an entry that includes her and was already approved goes back to To approve so the organiser reviews it again.

When it finishes you will see “Licence saved. Also updated in N open entries.” or, if there were none, “Licence saved in Clybo’.”. If a competition could not be updated, the message is “It could not be updated in N competitions. Use ‘Update details’ in their entries.”.

If something goes wrong

  • You cannot find an athlete: try another part of the name in Search athletes. If your club uses Clybo’, check that Filter by team is set to All teams, that she is in the Clybo’ register and that she is a member of one of the teams chosen in Teams (N).
  • The list is empty and asks you to choose teams: your club uses Clybo’ and has not yet chosen which teams compete, or the season has changed in Clybo’. Select Choose teams and save the selection, or select Add athlete if you prefer to create them by hand.
  • The dialogue shows no teams: you see “This season has no active teams in Clybo’.” or “No active season in Clybo’”. Create or activate the season and its teams in Clybo’ and open it again.
  • You cannot edit or delete an athlete: if she has the Clybo’ badge, she is from the census and is changed in Clybo’; from here you only edit her licence, with the pencil. Athletes without a badge can be edited and deleted.
  • You changed a licence and an entry went back to “To approve”: this is expected if it was approved; the organiser must review it again.
  • You see “It could not be updated in N competitions”: the licence was saved in Clybo’, but those competitions were not updated. Select Update details in the header of My athletes and choose those competitions.
  • A closed competition keeps the previous licence: this is expected; only entries that are open for your club are updated.
  • An entry keeps the old details: this is expected. Update the details with Update details, in the header of My athletes, as the guide on changing an entry explains.
