Categories, levels and divisions of the competition

Define the birth-year categories, levels and divisions of your competition, and check from when they can no longer be changed.

Quick answer

In Divisions you define the categories by year of birth and the levels; then you create each division by combining category, level and modality. Once registration is closed, the structure can no longer be changed.

A division groups the gymnasts of one category, one level and one modality. This guide explains how to create divisions in the right order and when they can no longer be changed.

Before you start

  • Create the competition as a draft and complete its basic details. If you have not done so yet, follow Create and publish a competition call for entries.
  • Have to hand the competition’s regulations: the years of birth for each category and the levels you are going to use.
  • Each competition allows up to 300 divisions.
  • Create the categories and levels first. Without them you cannot create divisions, and the call for entries cannot be published without at least one division.

Step by step

1. Open the Divisions screen

In the sidebar, under the Competition menu, select Divisions. That screen contains the Categories and Levels sections, the table of divisions and the New division button.

If there are no categories or levels yet, the screen shows this message: “Before creating divisions, add at least one category and one level.”

2. Define the categories

In the Categories section, select Edit. The Categories dialogue opens, with the subtitle For this competition.

For each category you enter:

  • The Name of the category.
  • Born from and to: the range of birth years. You can leave one end open with No limit, but you must enter at least one year.

The dialogue also has a Regulations field for the reference you use. Select Add category to add another row, and the remove button on each row to delete one. The year in Born from must be earlier than or equal to the year in to.

3. Add the levels

In the Levels section, select Add, type the name in Level name and select Save level. You can also choose one of the Suggestions: Exhibition, Base, Federation or Absolute. To remove a level, use its remove button.

Each level must have a name that is unique within the competition.

4. Create a division

Select New division. The editor starts with the three details that identify the division:

  • Category
  • Level
  • Modality

Two divisions cannot have the same combination of category, level and modality.

Then configure the rest of the division:

  • Passes: define how many passes the division has and which apparatus each one uses. You can choose One apparatus, Mixed or Other combination. The available apparatus are rope, hoop, ball, clubs, ribbon and freehands.
  • Team exercises and Who performs each exercise: for teams you choose between One gymnast per exercise (chosen by the club) and Every gymnast performs every exercise.
  • Gymnasts on the floor and Maximum substitutes.
  • Music duration: Minimum and Maximum, in m:ss format (for example 2:15). A number of seconds also works. The warning only appears when the music does not fit. If you leave it empty, there is no warning.
  • Time on the mat, in seconds, between 30 and 1800. Its help text says: “How long the exercise lasts on the mat, without the time between exercises.” The default is 1 min 30 s for individual and team, and 2 min 30 s for duo, trio and group. In the rotation, each exercise takes that time plus Between exercises.
  • Ranking: Sum of the passes or Per pass.
  • Counts towards the places for: Individuals or Groups, depending on the pool of places the division draws from.

Once the division is saved, it appears in the table with its Level, Modality, Exercises and Gymnasts.

5. Check the editor warnings

The editor points out with a specific warning anything that does not fit. For example:

  • “An individual division has one gymnast on the floor.”
  • “Each individual exercise uses a single apparatus.”
  • “Do not repeat the same apparatus.”
  • “A group has at most 2 passes.”
  • “Each pass must add up to as many apparatus as there are gymnasts on the floor.”
  • “Choose who performs each team exercise.”
  • “The music minimum cannot exceed the maximum.”
  • “The time on the mat must be between 30 and 1800 seconds.”

6. Check when it locks

The structure of the competition (categories, levels and divisions) can be changed until registration closes. With registration open, as soon as a club starts entering, even before anything is sent, its divisions with unsent drafts are locked; after the first entry is sent, those with entries are locked too. The categories and levels those divisions use are locked as well. Empty divisions can always be edited and deleted. The music, time on the mat and ranking settings remain editable for longer:

Competition status Categories, levels and divisions Music, time on the mat and ranking
Draft or Published Can be changed Can be changed
Registration open As soon as a club starts entering (a draft or a sent entry): divisions with drafts or entries, and the categories and levels they use, are locked Can be changed
Registration closed Locked Can be changed
Finished or cancelled Locked Locked

With registration open, a category or a level can be edited or removed if no division with drafts or entries uses it. To remove a category or a level that an empty division uses, delete that division first.

If you try to change the structure when it can no longer be changed, the editor shows: “Registration no longer allows the structure to be changed: only the music, the time slot and the ranking.” With registration open, a division that already has entries shows: “This division has entries: only the music, the time slot and the ranking can be changed.” A division with no entries but with unsent drafts from some clubs shows: “This division has unsent entries from 2 clubs. While they exist, only the music, the time slot and the ranking can be changed.” If it has both, the note is the one about entries. A draft is what a club has started to enter and has not yet sent. A specific division that can no longer be changed shows: “This division can no longer change: entries are open or closed.”

A division can only be deleted with the Delete button, which asks for confirmation in the Delete this division? dialogue. It is deleted along with its exercises, and only if it has no entries or unsent drafts.

If something goes wrong

  • “A division with that category, level and event already exists.”: change one of the three options.
  • “There is already a category with that name.” and “There is already a level with that name.”: use another name.
  • “Check the birth years: set at least one, and “from” cannot be after “to”.”: correct the range of the category.
  • “You cannot remove a category that has divisions. Delete its divisions first.” and “You cannot remove a level that has divisions. Delete its divisions first.”: delete those divisions first.
  • “Check the division: the apparatus, gymnasts or times are not valid.”: check the editor warnings in step 5.
  • “This part of the call can no longer be changed in its current status.”: the competition no longer allows changes in this section. See the table in step 6.
