Quick answer
From the Summary of your registration you open Music and upload an MP3 of up to 15 MB for each exercise. Clybo’ checks it in a few seconds and, while the deadline is open, you can listen to it or replace it.
Each exercise in your entry needs its music. In the Participants tab, each entry has one music row per exercise: there you upload the file, check that Clybo’ has verified it and, if needed, replace it before your club’s deadline ends.
Before you start
- Music is only uploaded for submitted or approved entries. Entries not yet sent have no music row.
- Music is uploaded in MP3 format, up to 15 MB per track. Other formats are rejected with the reason Not an MP3.
- Clybo’ does not judge the length. The screen shows it for every verified piece of music, but it does not reject a piece for being shorter or longer.
- Your club’s deadline appears at the top of Participants, on the Music card: how many you have uploaded out of those needed, how many are missing and until which day. In the last week it warns you with Closes in {days} days. It can change if the organiser grants a late extension; step 6 explains it.
Step by step
1. Open the music of your entries
Enter the competition. In Summary, select the Music row or, after approval, Upload music in Upload the music: Participants opens with the No music filter, which leaves only the entries with an exercise still missing its music. Select All to see every entry, or search with Search gymnast or group.
2. Read the count and the rows
At the top, Music shows “{done} of {total}” and the deadline, counting the exercises that already have music uploaded, verified or being checked.
Each entry is a row in its division, with the music in the Music column: one line per exercise. For groups and teams, the line also shows its name; a group with two exercises has two lines, each with its apparatus. With a single exercise, the apparatus goes in the division header. Until the bib is assigned, the line shows none.
3. Understand the status of each exercise
Each row shows a status line:
- Not uploaded: there is no music. Select Add music.
- Verifying…: Clybo’ is checking the file. Meanwhile the upload button does not appear, and the screen refreshes by itself until it finishes.
- Verified · 1:24: the music is ready. The length is for information only. You have the ▶ Listen icon and Replace.
- Rejected with its reason, for example Not an MP3: select Upload another.
- Music deleted: the file has already been deleted and cannot be played.
Three labels may also appear. Replacing… means that a new version is being verified. Uploaded by the organizer means that the organiser uploaded the music for your club. From the Music Studio means that the piece was copied from your Music Studio, as explained below.
4. Upload a piece of music
- Select Add music on the exercise line, or Upload another if the previous one was rejected. If your club has the Music Studio, a menu opens: choose Upload an MP3.
- Choose the MP3 file on your computer.
- While it uploads, Uploading · {n}% appears with a progress bar. To stop it, select the × Cancel upload icon.
- When it finishes, the row changes to Verifying… and then to Verified with the length.
Choose music from your Music Studio
This option appears only if your club uses Clybo’ and has the Music Studio turned on. Instead of uploading a file, you can use a piece of music that you have already exported there. Only the club’s administrator can do this.
- On the exercise line, select Add music (or Replace, if it already has one) and choose Choose from my Studio in the menu.
- The Choose a piece from the Studio window opens with your exported music, showing its name, the apparatus and the length. Pieces marked Matches the apparatus come first.
- Select Use this music. The window closes, the row changes to Verifying…, and Clybo’ checks it in the same way as an uploaded file.
- When it finishes, the piece is labelled From the Music Studio.
The music is copied at that moment. If you change it later in the Studio, the club’s copy does not update by itself: you need to choose it again here. If you have not exported any music yet, the window says: “You have not exported any music from the Studio yet.”
5. Replace or listen to a piece of music
To change a verified piece of music, select Replace and choose the new MP3. If your club has the Music Studio, first choose Upload an MP3 in the menu. While it is being verified, the previous one stays current and the row shows Replacing…. If the new one does not pass verification, the previous one is kept and you will see the reason for the rejection in a notice that you can dismiss.
While a replacement is pending, Replace is disabled: only one upload can be in verification per exercise.
To listen to a verified piece of music, select the ▶ Listen icon. A player with that music appears below the row.
6. Watch the deadline
Each exercise has its own limit. Once it has passed, Add music and Replace are disabled and the line shows “The deadline to upload music ended on {date}. Contact the organizer if you need to change one.”
If the organiser grants your club a late-entry deadline with its own music limit, the entries you send during that extension may have a deadline later than the general one. In that case the later of the two applies.
If something goes wrong
- “Not an MP3”: the file is not in MP3 format. Export it as an MP3 and upload it again.
- “Larger than 15 MB”: the file exceeds the limit. Trim or compress it and upload it again.
- “It cannot be read”: the file is damaged or lasts less than one second. Try another copy.
- “The upload arrived incomplete”: the upload was interrupted. Upload the file again.
- “The music could not be uploaded. Try again.”: the upload did not complete. Check your connection and repeat it.
- “The music could not be copied from the Studio. Try again.”: the copy did not complete. Choose the piece again.
- “You have uploaded too many pieces in a row. Wait a moment and try again.”: wait a few minutes before uploading another.
- “The music is still being verified. Wait for it to finish.”: you cannot replace a piece of music while another one is being verified.
- “The competition is closed: music can no longer be uploaded.”: the competition is finished or cancelled. If you need to change a piece of music, contact the organiser.
- “This entry is no longer active, so it cannot take music.”: the entry is rejected or withdrawn.
Next step
- Review the competition’s music: what the organiser sees of your club’s music and how they notify you.
- Accept and submit the competition’s documents: required documents also block the sending of the registration.
- Change or withdraw an entry: how to modify what you have already sent.
- Accept late entries after the deadline: how the organiser grants a club its own deadline.
